WhatsApp Guide

South Africa has over 24 million active WhatsApp users — making it the most-used communication channel in the country. Nexivo's WhatsApp booking system lets service businesses meet customers where they already are, reducing friction and turning enquiries into confirmed bookings faster.

How Nexivo's WhatsApp booking system works

When a customer visits your Nexivo booking page and selects a service, they are redirected to WhatsApp with a pre-filled message that includes:

  • Their name and contact details
  • The service they want to book
  • Their preferred date and time

The message is sent directly to your WhatsApp number. You respond, confirm, or reschedule — right from the conversation. No third-party scheduling app, no friction, no missed leads.

Setting up your WhatsApp number on Nexivo

  1. Go to Dashboard → Business Settings
  2. Enter your WhatsApp number in international format (e.g. +27 82 123 4567)
  3. Save your changes

Your number must be active on WhatsApp for the integration to work. We recommend using WhatsApp Business (see below).

Customising your booking message

You can edit the pre-filled message customers send when they book — useful for gathering specific information relevant to your business (e.g. hair type for a salon, property size for a cleaning company). Go to Dashboard → Business Settings → WhatsApp Message Template to set this up.

WhatsApp Business vs personal WhatsApp

We strongly recommend using WhatsApp Business for your bookings. It gives you:

  • A verified business profile with your name, category, and description
  • Quick replies for frequently sent messages
  • Automated greeting and away messages
  • Labels to organise your conversations (e.g. New Booking, Confirmed, Paid)

WhatsApp Business is free and available on Android and iOS. If you run a higher volume, consider the WhatsApp Business API — contact us to learn how Nexivo supports this.

Sending quotes and invoices via WhatsApp

Beyond bookings, Nexivo lets you create professional PDF quotations and invoices from your dashboard and share them directly via WhatsApp. When a client accepts a quote, convert it to an invoice in one click — no separate software needed. This is how South African service businesses get paid faster.

Tips for more bookings via WhatsApp

  • Respond quickly — the faster you respond, the lower your no-show rate. Aim for under 15 minutes during business hours.
  • Pin your Nexivo booking link — add it to your WhatsApp status, profile bio, and Instagram/Facebook bio.
  • Send reminders — follow up 24 hours before appointments. A quick "See you tomorrow at 10am" cuts cancellations significantly.
  • Use quick replies — set up WhatsApp Business quick replies for "Booking confirmed", "Please send a deposit", and "Here is your invoice".
  • Add your link to Google Business Profile — customers who find you on Google can book directly without needing to call.

Growing your client base with Nexivo

Every booking through Nexivo builds your customer database automatically. You can view your leads, follow up on enquiries, and track which services are most popular — all from your dashboard. Over time, your Nexivo page also helps new customers find you through Google search, building organic traffic alongside your WhatsApp conversions.
